Roll-Call Attendance Overview

This video will walk you through the basics of using the attendance tool in your Canvas course.


How to take attendance in Canvas (can be done on computer or iPad/iPhone app)

  1. From within your course, select Attendance on the left-hand side
  2. By default, you will see a list view of students. To switch to a drag-and-drop seating chart view, switch the view from List to Class at the top right.
  3. The first time you click a student it marks them as present, the second time marks them as absent, the third time marks them as tardy, and the fourth time unmarks them.
  4. You can also utilize the Mark all Present button to quickly take attendance.
  5. Click the arrows or calendar icon (next to the date at the top right) to mark or change attendance for a different day.


How to mark absences as Excused or Unexcused

  1. From within your course, select Attendance on the left-hand side
  2. In the List view, next to any student’s name, click More. 
    1. Or, from the Class view, click directly on the student’s name to access More screen.
  3. In the More view, you can keep record of Excused and Unexcused absences by creating a badge.
  4. How to create a badge for Excused/Unexcused Absences:
    1. From the More screen, click +Add Badge
    2. Type the name of your badge (e.g. Excused Absence or Unexcused Absence) and select an icon to display.
    3. Click Save Badge
    4. Repeat for all badges you wish to create in your course.
  5. Once you have created a badge for Excused and Unexcused Absences, whenever you take attendance you can access the More screen to mark a student as Excused or Unexcused, or to view the number of Excused/Unexcused absences for each student.
  6. Badges are separate from the regular Present/Late/Absent attendance markings and will not affect a student’s attendance score, nor will they show up if you run an attendance report. They are only for your reference.




Attendance Reports & Student Access

This video will look deeper into how to use attendance data to create reports and access attendance information as well as show how students access their own attendance reports.


How to Output an Attendance Summary for the Entire Class

  1. From within your course, select Attendance on the left-hand side
  2. At the top right, click the gear icon and select Attendance Report
  3. Under Filter Your Data, leave everything blank
  4. Under Tell us where we should send the report, make sure your email address is correct
  5. Click Run Report
  6. Open your OBU Email and wait for your link to arrive
  7. Open the link in the email from Roll Call, then download the .CSV file which will open in Excel.
    1. Chrome users: open the file at the bottom of your screen
    2. Other users: open the file from your Downloads folder
  8. Create a table for a more user-friendly view of the data:
    1. In your Excel file from step 7, go to the Insert tab near the top left corner
    2. Click Pivot Table on the left side
    3. Leave the default info as it is, and click Okay
    4. Excel will create a new sheet for your table.
    5. In the PivotTable Builder popup:
      1. Drag the Student Name field to the Rows window
      2. Drag the Attendance field to the Columns window
      3. Drag the Attendance field again to the Values window
      4. Close out the PivotTable Builder
  9. You should now have a table with each student and their attendance markings.
